Outlook Calendar Invites

Outlook calendar invites are triggered during the following scenarios:

Administrator/Meeting Organizer

  • When an administrator adds a new Tumor Board under Settings -> Tumor Board the administrator will receive a calendar invite listing them as the meeting organizer.

  • If an administrator edits an existing Tumor Board, such as changing the frequency or location of the meeting, the existing calendar invite will be updated to reflect the changes made.

  • The administrator will be able to assign physicians to the Tumor Board so that they are invited on a recurring basis (via the Settings -> Physician Schedule page) or physicians can be invited to a specific session via the "Invite Physicians" page.

Sending a Physician a Recurring Invite

  • To invite a physician to all future sessions of a Tumor Board, the physician needs to be assigned to the Tumor Board. Physicians can be assigned via the Settings -> Physician Schedule page.

  • Search for the physician you would like to assign and select the Tumor Board assignment from the dropdown. Once the "Save" button is pushed, the physician will receive an email invite for all future sessions of the assigned Tumor Board.

Sending a Physician a Single Session Invite

  • To Invite physicians to a specific Tumor Board session, navigate to the "Invite Physicians" page and search for the Tumor Board name and date you would like to send invites for.

  • Once you have located the correct Tumor Board session, select the physician names from the department drop downs that you would like to invite. Once the "Save" button is pushed, invites will be sent to the selected physicians.
